1. Scope

MLE Property Management LLC ("MLE," "we," "us," or "our") provides residential property management, leasing, tenant placement, and related real estate services. This Privacy Policy describes how we collect, use, disclose, retain, and protect personal information when you visit this website, submit a form, apply for a rental, make a payment, communicate with us, or use our services online or offline.

This policy applies to information collected through this website, email, phone, text messages, rental applications, and in-person or other business interactions. It does not replace any separate notice or agreement provided for a specific service, rental application, lease, payment processor, screening provider, or property owner.

2. Personal Information We Collect

Information you provide

  • Contact and identity information: name, email address, phone number, mailing address, and other information you provide when contacting us.
  • Property and service information: property addresses, ownership or management details, service interests, rental preferences, messages, and information submitted through contact, rental analysis, or other forms.
  • Rental application information: date of birth, current and prior addresses, employment and income information, landlord and rental history, references, requested move-in date, household and occupant details, pets, vehicles, and application responses.
  • Application documents: optional government-issued identification and proof-of-income documents that you choose to upload or send to us.
  • Payment information: application fees and payment-related details. Payment card information is processed by Stripe; we do not store full payment card numbers on our servers.
  • Communications and consent records: emails, phone or voicemail content, text-message preferences, SMS opt-in status, consent time and source, and correspondence with us.

Information collected automatically

When you visit the website, we may collect limited technical and visit information, such as the page you entered on, referring domain, campaign parameters, visit time, broad device and browser category, language, timezone, and screen dimensions. We use random first-party visitor and session identifiers to measure visits and unique visitors. We do not store raw IP addresses or full user-agent strings.

Information from other sources

We may receive information from property owners, rental references, service providers, payment processors, screening providers, or other people involved in a transaction or application. We may also receive information when someone submits an inquiry or application on your behalf.

3. How We Use Personal Information

We may use personal information to:

  • Provide, operate, improve, and secure our property management, leasing, tenant placement, and related services.
  • Respond to inquiries, provide rental analysis, schedule communications, and coordinate property-related services.
  • Receive, process, evaluate, and administer rental applications and related screening or eligibility decisions.
  • Prepare, administer, and enforce leases, service agreements, disclosures, and other business records.
  • Process application fees and other payments, issue receipts, and resolve payment questions.
  • Review and communicate about maintenance, property operations, showings, leasing, and tenant or owner requests.
  • Send service messages and, when you expressly opt in, marketing or promotional SMS messages.
  • Send email confirmations, application updates, requested information, and other business communications.
  • Maintain privacy-safe website analytics, troubleshoot technical issues, prevent abuse, and protect the website and our users.
  • Comply with legal obligations, respond to lawful requests, enforce agreements, resolve disputes, and protect rights, safety, and property.

4. SMS Messaging & Mobile Information

When you provide your mobile phone number and opt in to receive text messages from MLE Property Management, we may use your mobile number to send marketing and promotional SMS messages, including property listings, real estate opportunities, open house announcements, market updates, and information about our real estate services.

Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message. For assistance, reply HELP or contact us using the information provided on this website.

We do not share, sell, rent, or provide your mobile phone number, SMS opt-in data, or messaging consent to third parties or affiliates for their marketing or promotional purposes.

SMS consent is not a condition of purchasing goods or services.

Your consent to receive SMS messages applies only to communications from MLE Property Management for which you have expressly opted in. SMS consent is optional and is stored separately from acceptance of this Privacy Policy or our Terms.

5. How We Share Information

We do not sell or rent personal information. We may disclose information when reasonably necessary for the purposes described in this policy, including to:

  • Property owners and authorized representatives: information needed to evaluate applications, manage a property, administer a lease, or provide requested services.
  • Service providers and processors: companies that provide hosting, secure storage, payment processing, email delivery, document handling, screening, information technology, security, or other business support under appropriate obligations.
  • Transaction participants: landlords, tenants, applicants, vendors, contractors, references, or other parties when needed to carry out a requested property or leasing service.
  • Legal, safety, and compliance recipients: courts, government agencies, law enforcement, regulators, advisors, or other parties when required by law or reasonably necessary to prevent fraud, protect safety, enforce agreements, or defend legal claims.
  • Business transfer recipients: a successor or other party in connection with a merger, financing, sale, reorganization, or transfer of some or all of our business or assets.

We do not provide mobile phone numbers, SMS opt-in data, or messaging consent to third parties or affiliates for their own marketing or promotional purposes.

6. Cookies, Analytics & Similar Technologies

We may use cookies, browser storage, session storage, and similar technologies to operate the website, remember limited session information, protect forms, and understand how the website is used. You can control cookies and browser storage through your browser settings, although disabling them may affect some website features.

Our current visitor analytics are designed to be privacy-safe. We retain the referring domain rather than the full referrer URL, store broad device and browser categories rather than a full user-agent string, and do not store raw IP addresses. We do not use this first-party visit data for cross-site tracking or sell it to third parties. If your browser sends a Do Not Track signal, our first-party visitor tracker does not record the visit.

When Replit-hosted analytics are enabled for the published website, we also measure pageviews and limited custom events such as form category, source page, rental-application checkout starts, and application confirmation page views. Our custom-event calls also honor Do Not Track and do not include names, contact details, application IDs, uploaded documents, payment-card details, or free-form form content. Replit processes hosted analytics under its applicable terms and privacy policy.

We use Google Analytics 4 on the published website to measure page views and interactions. Google may use cookies or similar technologies and process usage information under its own privacy practices. We remove query strings from page URLs sent to Google Analytics and do not send names, contact details, application IDs, uploaded documents, payment-card details, or free-form form content. The Google Analytics tag is not loaded when your browser sends a Do Not Track signal. After Stripe verifies a successful rental-application payment, we also send GA4 a server-side purchase event with the amount, currency, and an opaque Stripe checkout transaction ID so duplicate deliveries can be recognized. This event contains no applicant details, application contents, documents, or card data. The server-side event is not sent when the checkout request includes a Do Not Track or Global Privacy Control signal.

Our weekly analytics summaries are internal email reports and are not provided through a public analytics dashboard.

7. Your Choices

  • SMS: reply STOP to opt out of SMS messages or HELP for assistance.
  • Analytics: enable your browser's Do Not Track setting to opt out of our first-party visit collection, Google Analytics, and custom-event calls.
  • Browser controls: adjust browser settings to block or delete cookies and browser storage.
  • Marketing email: follow the unsubscribe instructions in a marketing email or contact us.
  • Information requests: contact us to request access to, correction of, or deletion of personal information, subject to legal and operational limitations.

8. Privacy Rights

Depending on where you live and subject to applicable law, you may have rights to request access to the personal information we hold about you, correction of inaccurate information, deletion, a copy or portability of certain information, restriction or objection to certain processing, and withdrawal of consent where processing is based on consent. You may also have rights to opt out of certain forms of targeted advertising, sale, or sharing where those concepts apply.

Based on our current practices, we do not sell personal information or share it for cross-context behavioral advertising. To make a request, contact us using the information below. We may need to verify your identity before completing a request, and we will not discriminate against you for exercising a privacy right.

If you are in the European Economic Area or United Kingdom, you may also have the right to complain to your local data protection authority. Our processing may rely on consent, contract necessity, legitimate business interests, or legal obligations, depending on the situation.

9. Rental Applications, Screening & FCRA

Rental applications may include sensitive identity, employment, income, address, rental-history, and household information. We use this information to process applications, evaluate eligibility, administer leasing, communicate with applicants, and comply with applicable housing and landlord-tenant requirements.

Where consumer reports are obtained from a screening or consumer-reporting provider, they are used in accordance with applicable law, including the Fair Credit Reporting Act. If we take adverse action based in whole or in part on a consumer report, we will provide notices required by applicable law, including information about the reporting agency where required.

Applicants should submit only documents requested for the application. Optional government-issued ID and proof-of-income uploads are stored in private storage, are accessible only through authorized application workflows, and are not publicly listed. Applicants may also reply to the application confirmation email with those documents if needed.

10. Payments

We use third-party payment processors, including Stripe, to process application fees and other payments. We do not store full payment card numbers on our servers. Payment information is handled under the processor's privacy policy and terms, and payment records may be retained as needed for accounting, customer service, fraud prevention, dispute resolution, and legal compliance.

11. Data Retention

We retain personal information for as long as reasonably necessary to provide services, process applications, administer properties, maintain business and financial records, comply with legal and recordkeeping obligations, resolve disputes, prevent fraud, and enforce agreements. Retention periods vary based on the type and sensitivity of the record, the purpose for which it was collected, and applicable law.

Privacy-safe visitor event records are subject to our analytics retention settings. We may retain consent records and transaction records longer when needed to demonstrate compliance or meet legal obligations.

12. Data Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we handle. These include access controls, rate limiting, secure payment processing, private document storage, limited document access, and protected application workflows. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If you believe your information or an application document has been improperly accessed, please contact us promptly using the information below.

13. Children's Privacy

Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review the information and take appropriate steps.

14. International Visitors

MLE is based in Tennessee and our services are directed primarily to the United States. If you access the website or provide information from outside the United States, your information may be processed and stored in the United States or other locations where our service providers operate, which may have different privacy protections than your home country.

15. Third-Party Links and Services

The website may link to third-party websites, payment pages, property services, or other resources. We are not responsible for the privacy, security, or content practices of third parties. Review their privacy policies and terms before providing information. Your use of third-party payment, screening, storage, or communication services may also be governed by those providers' separate terms and policies.

16. Property Owners, Applicants & Tenants

Property owners: We may use and disclose information reasonably necessary to evaluate, market, lease, operate, and manage a property. Owners who receive applicant or tenant information are responsible for handling it in accordance with applicable law and their agreements with MLE.

Applicants and tenants: Information you provide may be used for eligibility decisions, lease administration, maintenance, communications, payment processing, and compliance. It may be shared with property owners, authorized vendors, screening providers, or authorities when reasonably necessary for those purposes.

17. Changes to This Policy

We may update this Privacy Policy from time to time. The date at the top of this page indicates when it was last updated. We may post material changes on this page and provide additional notice when required by law or when appropriate.
